All Plans
DOT Lead Scout is a SaaS tool built specifically for medical examiners and occupational health clinics who sell DOT physicals to motor carriers. It turns FMCSA's 3-million-record carrier registry into a usable, geographic, prioritized lead pipeline — with a built-in CRM, change tracking, and outreach tools designed around your actual workflow.
Who It's For
Independent Medical Examiners
Solo certified medical examiners running your own practice or working out of a rented clinic space.
Occupational Health Clinics
Clinics that offer DOT physicals alongside drug screens, hearing tests, and other employer-required exams.
Mobile DOT Examiners
Examiners running mobile units that travel to carrier yards, truck stops, or job sites.
Multi-Location Practices
Clinics with multiple sites looking to build territory across an entire metro area or region.
What It Actually Does
- Builds geographic lead lists — tell it your clinic ZIP code and a search radius, and it returns every active motor carrier in range
- Surfaces priority signals — carriers approaching audit deadlines, fleets growing, Conditional safety ratings, new entrants
- Tracks every change — nightly sync with FMCSA, with full changelog so you can see who just filed, who reactivated, who added drivers
- Maps your territory — a real geographic view of your pipeline with cluster bubbles, radius rings, and route-planning tools
- Manages outreach — built-in CRM with stages, notes, reminders (email + SMS), and a daily action plan that tells you what to do today
Where the Data Comes From
- ~3 million carriers in the underlying dataset
- Daily updates for the high-value fields (status, fleet size, MCS-150 dates, contact info, safety rating)
- Public, official data — the same source shippers and brokers use to verify carriers
- Same-day reflection of new carriers appearing in the FMCSA registry
We don't buy lists
DOT Lead Scout doesn't buy data from third-party brokers, scrape websites, or get information from anywhere other than official FMCSA channels. See 9.1 Where Does the Data Come From? for the complete technical detail.
What You Can Do With It
Find prospects
Generate a list of every motor carrier within driving distance of your clinic, filtered by fleet size, safety rating, or operating status.
Spot outreach moments
See when carriers add drivers, file fresh MCS-150s, or get safety-rating downgrades — the moments they're most likely to switch clinics.
Plan field visits
Use Map View to find carrier clusters near your clinic and plan efficient drop-in days — 5-10 stops per trip.
Run cold outreach
Built-in call scripts, email templates, and a CRM to track every call and email without juggling spreadsheets.
Stay on top of follow-ups
Email and SMS reminders, a daily action plan dashboard, and a weekly digest that surfaces the right leads at the right time.
Send rate sheets
Build a branded PDF rate sheet once, send it from any lead detail panel, and watch open and click rates from your dashboard.
What It's Not
- Not an EHR. DOT Lead Scout doesn't store patient records, exam results, or medical certificates. It's a sales tool, not a clinical system — you keep using your existing EHR for actual exam workflow.
- Not a national registry tool. DOT Lead Scout doesn't interface with the National Registry of Certified Medical Examiners. Nothing here affects your CME credentialing.
- Not auto-magic. The platform makes outreach faster and smarter, but you (or your staff) still need to make calls, send emails, and build relationships. We surface the moments — you show up.
- Not exclusive territory. FMCSA data is public, so other examiners can access the same carriers. What's exclusive is your timing, your outreach quality, and the relationships you build.
