All Plans
Your clinic location is the anchor for almost every geographic feature in DOT Lead Scout: distance sort on lead lists, the radius rings on Map View, route planning, and the "Close Proximity" bonus on the opportunity score. Adding multiple clinics lets you anchor outreach from any of your physical locations — useful for examiners with two offices or a clinic-plus-mobile-unit setup.
How Many Clinics You Can Add #
| Plan | Max clinic locations |
|---|---|
| Scout | 1 |
| Engage+ | 10 |
First clinic is automatic
When you add your first clinic, it's automatically marked as your primary location. The primary clinic is the default anchor for distance sort and Map View centering until you change it.
Where to Add Clinics #
Open My Profile
From the portal sidebar, click My Profile.
Scroll to Clinic Locations
Or use the jump-link at the top of the page.
Click Add Location
An add-clinic modal opens. The button is hidden once you reach your plan's clinic limit.
Fill in the form
Required fields: Clinic name, street address, city, state (2-letter), and ZIP. Phone is optional.
Clinic Form Fields #
| Field | Required | Notes |
|---|---|---|
| Clinic Name | Yes | Free-text. Shown on Map View popups and the facility selector. |
| Street Address | Yes | Used for geocoding. |
| City | Yes | Free-text. |
| State | Yes | Two-letter code, auto-uppercased (e.g. TX, OR). |
| ZIP Code | Yes | 5-digit ZIP. Used for the local ZIP geocoding fallback. |
| Phone | No | Shown on the Map View popup. Optional but recommended. |
How Geocoding Works #
Local ZIP lookup
We first check our internal ZIP-to-coordinates table. Most US ZIP codes resolve here in milliseconds.
PositionStack API fallback
If we need finer accuracy than the ZIP centroid, the full address is sent to the PositionStack geocoding API for street-level coordinates.
Geocoded vs. Not Geocoded
Each clinic card shows a status indicator: a green Geocoded tag with a pin icon, or an orange Not geocoded warning. If your clinic shows Not geocoded, double-check the address and re-save — almost always a typo in the street or ZIP.
Setting a Different Primary #
- Find the non-primary clinic card you want to promote
- Click the Set as Primary button (the star icon)
- The previous primary loses its star automatically — only one clinic can be primary at a time
- Map View, distance sort, and reports immediately use the new primary as the anchor
Editing & Deleting Clinics #
Editing
Deleting
- Click the trash icon on a clinic card
- Confirm in the prompt — deletion is permanent
- If you delete your primary clinic, another clinic is automatically promoted to primary so you're never left without one
- If you delete your only clinic, distance and map features stop working until you add a new one
Common Multi-Clinic Setups #
Two physical clinics
Add both. Pick the one you're working from today as primary — the map centers on it. Drivers route to whichever is closer.
Clinic + mobile unit
Add the clinic as primary. Add the mobile unit's base location as secondary. Switch between them on the map facility selector.
Multi-examiner partnership
One account with multiple examiners covering different geographic areas. Switch primary daily based on whose outreach you're prioritizing.
Expanding to a new market
Add a planned future location to preview the territory it'll cover — even before opening day, you can see who's nearby.
