Engage+

DOT Lead Scout ships with a library of pre-built email templates designed specifically for medical examiners reaching out to motor carriers. Pick one in the composer, review the auto-filled content, and send — or use them as a starting point for your own custom templates.

## Template Categories

Templates are organized into five categories so you can pick the right tone for the situation:

##### Introduction & First Contact

Cold outreach to carriers who don't know you yet. Friendly, low-pressure, focused on introducing your clinic.

##### Value Proposition

Lead with the benefit: speed, walk-ins, compliance, or pricing. Use after some rapport is established.

##### Problem / Solution

Identify a specific compliance pain point (stale MCS-150, audit risk) and position your clinic as the fix.

##### Relationship Building

Check-ins and follow-ups for carriers you've already talked to. Keeps you top-of-mind without being pushy.

##### Special Offers & Promotions

Time-limited offers, new-patient discounts, and seasonal promos. Use sparingly.

More categories coming as we add templates.

## Featured Templates

A few of the most-used templates from the library:

| Template | Category | Best For |
| --- | --- | --- |
| Introduction – New Neighbor | Introduction | First-time outreach to local carriers. |
| Rate Sheet Follow-Up | Introduction | Sending pricing after a phone conversation. Auto-attaches your rate sheet. |
| Healthy Backup Option | Introduction | Pitching yourself as a backup when the carrier already has a primary clinic. |
| Audit Ready Process | Introduction | Targeting carriers worried about FMCSA audit risk. |
| Time is Money | Value Proposition | Carriers focused on driver throughput and turnaround time. |
| Stale MCS-150 Reminder | Problem / Solution | Carriers overdue on their biennial filing — pairs well with the "Stale MCS-150" signal filter. |

## Using a Template

##### Open the composer

From the lead detail panel, click **Email**.

##### Pick a template

Choose one from the **Template** dropdown. Subject and body auto-fill with placeholder tokens.

##### Review and personalize

Tokens resolve at send time, but you can edit any line. Add a personal note about something specific to the carrier.

##### Send or schedule

Click **Send** for immediate delivery, or toggle **Schedule** to set a reminder for later.

## Saving Your Own Templates

Once you've customized a message in the composer, you can save it as a new template for reuse:

- Click **Save as new template** at the bottom of the composer
- Give it a name and pick a category
- Optionally toggle **Include Rate Sheet** to bake in the rate-sheet attachment for future sends
- Your custom template now appears in the dropdown alongside the built-ins

##### Use tokens in your custom templates

When saving, replace specifics like "Hi John" with `Hi {mc_owner_name}` — that way the template works for every lead, not just the one you originally wrote it for.

## Best Practices

- **Personalize the first line.** Templates handle the structure; one custom sentence at the top makes it feel real.
- **Keep it short.** Carriers are busy. Two short paragraphs beats one long one.
- **Use a clear subject.** "DOT physicals - {clinic}" outperforms generic subjects.
- **Always include a clear next step.** "Reply to schedule" or "Call me at {phone}" works better than open-ended closings.
- **Attach the rate sheet for first contact.** It answers the "how much" question immediately.
